Shopify Malaysia Reconciliation Checklist

A Shopify finance checklist for Malaysian sellers

Masni 7 min read

A working checklist rather than a summary. Each item is checkable in minutes, and a failure points at a specific article rather than at a general problem.

Setup

The Shopify order reference reaches your gateway's transaction record. Verified on a real order, not assumed. Everything downstream depends on this one field — see the gateway reference that joins everything.

You know which gateways and wallets you actually use and how each settles — through the gateway or directly — see e-wallet payments and how they settle.

Each settlement stream has its own clearing account. Online gateway, card terminal if you have a shop, each wallet arrangement, cash, courier remittance — see reconciling two gateways into one bank account.

Consignment notes are captured against orders automatically, from the label being generated rather than typed — see capturing the consignment note against the order.

Cost of goods is populated at landed cost and updated when stock is received — see cost of goods sold for Shopify stores.

Product weights and dimensions are accurate for the products in most orders — see weight discrepancies and who pays for them.

Daily

Order counts agree between Shopify and your system.

Failed and interrupted payments are visible, including any gateway transaction with no matching order — see failed payments and the orders they leave behind.

Abandoned orders expire automatically and release their stock.

Failed deliveries are detected from tracking, not from customers asking — see failed deliveries and what they cost.

As payouts arrive

Each deposit is held unallocated until its settlement report arrives — see when the payout arrives before the report.

Each payout decomposes exactly — transactions, fees, refunds, chargebacks, reserve withheld, reserve released — see decomposing a payout line by line.

Fees are recorded per payment method, never blended.

Reserve is on the balance sheet, not in expenses — see payment gateway holds and reserves.

Weekly

A completeness sweep compares a full pull against what you hold — see Shopify webhooks and why they are not enough.

The exception queue is worked, oldest first, with resolutions recorded — see the exception queue and how to size it.

The nine operating figures are reviewed — see the numbers a Shopify owner should see weekly.

When a courier invoice arrives

Every line matches a recorded consignment.

Invoiced is compared against expected, with differences categorised — see courier invoices and how to reconcile them.

Surcharges are attributed to the orders that caused them.

Repeated weight corrections trigger a data fix on the products responsible.

Month end

Every payout in the period is decomposed and posted.

The four in-flight figures are stated: sales not settled, settlements not paid out, payouts not allocated, reserve held — see reconciling across a period boundary.

Fees are accrued on unsettled sales, and delivery on uninvoiced consignments.

Revenue matches Shopify gross sales, allowing for boundary timing — see Shopify gross sales vs net payout.

Stock value ties to quantity at cost — see inventory valuation across online and offline.

The exception queue is cleared rather than carried forward.

Quarterly

Contribution reviewed by product, channel and order value band — see per-product profitability on your own store.

Free shipping threshold and minimum order checked against the data rather than assumed — see shipping revenue versus shipping cost.

Courier performance compared by region and weight band — see choosing couriers by destination.

Payment method mix and cost reviewed, including whether any low-share method is earning its keep — see why your checkout needs more than one payment method.

Installed apps reviewed for cost, overlap and permissions — see Shopify apps and the costs they add.

The four tests that summarise all of it

If you check nothing else, check these.

Can you decompose one bank deposit completely? If yes, your reconciliation works.

Can you state contribution on one order, with every cost attached? If yes, your margin data is real.

Can you say how much money is earned and not yet available, and where each part sits? If yes, your cash position is understood.

Is your exception queue small, aged and clearing? If yes, the other three answers can be trusted.

Four questions. A store answering all four has finance that works — see what to do when nothing matches for what to do when one of them fails.

Common questions

What should be verified before connecting a Shopify store to accounting?

That the Shopify order reference actually appears in your payment gateway's transaction record on a real order, that you know how every gateway and wallet you accept actually settles, that each settlement stream has its own clearing account, that consignment notes are captured automatically at label generation, and that cost of goods is populated at landed cost.

What should happen every time a payout arrives?

The deposit is held unallocated until its settlement report arrives, then the payout is decomposed exactly into transactions, fees, refunds, chargebacks and reserve movements. Fees are recorded per payment method rather than blended, and reserve is placed on the balance sheet rather than treated as an expense.

What belongs in a month-end close for an online store?

Every payout decomposed and posted, the four in-flight figures stated — sales not settled, settlements not paid out, payouts not allocated and reserve held — fees accrued on unsettled sales and delivery on uninvoiced consignments, revenue matched against Shopify gross sales, stock value tied to quantity at cost, and the exception queue cleared rather than carried forward.

What are the shortest tests of whether store finance is working?

Four: whether you can decompose one bank deposit completely, whether you can state contribution on one order with every cost attached, whether you can say how much money is earned but not yet available and where each part sits, and whether the exception queue is small, aged and clearing — the last being what makes the other three trustworthy.
